Enhanced Audit Request and Finding Status Workflow

What is this feature?

This update significantly overhauls the way 'Audit Requests' and 'Findings' are managed within Scrut. We've implemented a new status workflow that ensures that when an auditor submits a request or finding, it goes through a proper review cycle before it is closed.

Use Case/Pain Point Solved

  1. Lack of visibility and communication: Previously, when an assignee uploaded a supporting document for a request/finding, it remained in ‘Open’ state, leaving auditors unsure of the assignee's progress.

    1. Introducing a "Needs Review" Status: This new status signals that the assignee has made progress by uploading supporting documents or completing corrective actions, prompting submission for review.

    2. Enhanced Communication: Email notifications now alert the auditor when the assignee submits for review. This ensures everyone involved is kept in the loop.

  2. Auditor unable to request further modifications: The auditor did not have the option to request further modifications to the uploaded documents.

Both these pain points lead to inefficient management of audit requests and findings.

Workflow

How does it work?

  1. The auditor creates a request or finding.

  1. The assignee can take the following actions:

  • Upload Artifact: It is a one-time activity; choose this option.

  • Link Existing Artifact: If an artifact already exists, link it with the existing artifact.

  • Create a New Artifact and Link: If you want to reuse this artifact, then create a new one and link it.

  • Create Corrective Action: If it needs to go through a proper course of corrective action, create one or more.

  1. The assignee clicks Submit for Review.

Note: The status of the request/finding will change to 'Needs Review'. Also, an email notification is sent to the auditor or user who created the request/finding so that they can review the uploaded artifact.

  1. The auditor can take the following actions:

  • Close Finding: If the uploaded artifact satisfies the auditor's request, then the auditor can close it.

  • Request Revision: If the auditor requires some additional artifacts or modifications to the uploaded artifact, then he/she can choose this option.

Note: The request/finding's status will change to 'Needs Revision.' The assignee will also receive an email notification so that they can resubmit the artifact.

  1. Once the assignee reworks on it and the auditor is satisfied with the outcome, the auditor can close the request.
