Introducing Bulk Actions on Policy & Evidence
We are delighted to announce a significant enhancement aimed at optimizing evidence and policy management within our platform. In direct response to user requests, we have introduced a robust feature enabling bulk actions. This update addresses some common challenges, like individually assigning users to policies or evidence, offering a streamlined solution for increased efficiency. Users can now assign the same individual to multiple items in a single operation, effectively minimizing manual effort and enhancing workflow productivity.
Use Cases
Assignee Assignment: Administrators can easily assign the same assignee to multiple policies/evidence after filtering for specific departments, streamlining the assignment process, and ensuring uniformity across relevant policies and evidence.
Bulk Deletion: Users now have the capability to delete multiple policies and pieces of evidence simultaneously, facilitating efficient cleanup of unnecessary data in bulk.
Bulk Mark Policies/Evidence Not Relevant: Administrators can swiftly update the relevance status of policies in bulk, enhancing the efficiency of policy management tasks and enabling quick adjustments as needed.
How Does It Work?
The 'Policy and Evidence Table' now has checkboxes. When at least one checkbox is selected, the 'Bulk Actions' button becomes visible.
The 'Bulk Actions' dropdown offers four options: Bulk Assignee, Bulk Delete, Mark Policy as Relevant, and Mark Policy as Not Relevant.
Bulk Assignee
A count of impacted policies/evidence will be displayed when opting for the bulk assignee feature. To improve user experience, two new selections have been included in the assignee dropdown: the option for no assignee and the option to assign to oneself, both of which are prioritized.
Note: If any of the selected policies already have assignees, these will be replaced by the newly selected assignee(s).
Bulk Delete
You can now select the policies you want to remove and simply choose "Bulk delete" from the dropdown menu. A warning message will display the number of policies selected for deletion, ensuring you are aware of the impacts of your action.
Note: Once a policy is deleted, it's gone for good. We always advise our users to use this powerful feature with caution.
In this release, the 'Action' column from older versions of the product has been removed. Users can now delete individual policies or evidence by selecting the corresponding checkbox. Upon selection, a bulk action button will appear.
Mark Policy as Relevant and Not Relevant
When users opt to mark a policy as relevant, a simple confirmation of this action will be requested.
When marking a policy as not relevant, users are required to provide a justification for this choice. This justification will be displayed within all selected policies marked as not relevant. Later, if users wish to tailor the justification to suit a specific policy, they have the option to edit this justification within the individual policy.
