What is this feature?

The Vendor Intake Form Workflow is a new addition to Scrut's Vendor Management module. This feature streamlines the process of onboarding vendors, enabling a structured and efficient method for GRC teams to manage and assess vendor risks.

Use case solved

This feature addresses the challenge of handling a large number of vendors in big organizations. By introducing a standardized Vendor Intake Form workflow, the GRC team can now seamlessly oversee the onboarding process, ensuring that all necessary information is collected and evaluated before making informed decisions on vendor approval or declination.

How does it work?

  1. Creation of Intake Form by GRC Team: GRC teams initiate the onboarding process by creating customized Vendor Intake Forms tailored to the organization's specific needs and compliance requirements.

    a. Go to 'Settings', then click on "Intake Form".

b. Click "Create Intake Form".

c. Add Questions and click on "Save".

  1. Employee Submission of Intake Form from Employee Portal

  • As an employee, log in to the employee portal and go to the "Vendor Onboarding" tab.

  • Click on "New Request".

  • Fill in the vendor information and click "Save".

  • Answer intake form questions and click "Submit Form".

  1. GRC Team Evaluates vendor onboarding request and Approves/Decline:

  • Go to the "Vendor Onboarding" tab.

  • Click on "Vendor".

  • Review the questions and click "Approve" or "Decline".

  • Once approved, the vendor will be added to your vendor list.

  • When declining, the user must provide a reason for declination. An email notification is sent to the employee about the same.
