Multiple Assignees in Vendor Module

What is this feature?

This feature enables users to assign multiple assignees and reviewers at various levels within the vendor management and compliance workflow. Users can now add multiple assignees while creating or managing vendors, questionnaires, mitigation tasks, and vendor onboarding requests. The first assigned user will be treated as the primary assignee, and additional users will act as secondary assignees. Email notifications, audit logs, filtering, and export functionalities have been updated to support multiple assignees.

Why is it important?

Previously, only a single user could be assigned to vendors, questionnaires, and tasks, which limited collaboration in large organizations. With this enhancement,

• Multiple team members can now work together efficiently, ensuring seamless collaboration, better workload distribution, and improved response times.

• This also reduces dependency on a single assignee and improves visibility across compliance-related activities.

How to use it?

1. Assigning Multiple Users at Vendor Level:

   • When creating/editing a vendor, users can add multiple assignees from the UI. The first assignee is considered the primary assignee.

   • Bulk import functionality supports multiple assignees; the template has been updated accordingly.

   • Email notifications will be sent to all assignees upon assignment.

     

2. Assigning Multiple Reviewers for Questionnaires:

   • Users can add multiple reviewers while creating/editing a questionnaire, with the first reviewer as the primary reviewer.

   • Email notifications will be triggered to all reviewers for key actions, including vendor questionnaire submissions and vendor comments.

     

3. Assigning Multiple Reviewers at Question Level:

   • Users can assign multiple reviewers at the question level.

   • Email notifications will be sent only to all reviewers.

     

4. Assigning Multiple Assignees for Mitigation Tasks:

   • Users can add multiple assignees while creating or editing a mitigation task.

   • Email Notifications will be sent to all assignees upon task assignment, with only newly added assignees receiving notifications for updates.

     

5. Vendor Onboarding Intake Form – Multiple Reviewers:

   • The admin can add multiple reviewers to vendor onboarding requests.

   • Email notifications will be sent to all reviewers.
