AUTHOR: The folks at Scrut

We are excited to announce a significant enhancement to the Policy & Evidence Tasks Module in the upcoming release of Scrut. Below are the key features and improvements you can expect:

Key Features

  1. Source Differentiation in Policy and Evidence Tasks.

  2. Mandatory Justification for Marking Policies/Evidence Tasks as Irrelevant.

Use Cases

  1. Source Differentiation in Policy and Evidence Tasks: Users can filter the custom policies that they have made in the platform.

  2. Mandatory Justification for Marking Policies and Evidence Tasks as Irrelevant: Previously, users who marked a policy/evidence as irrelevant lacked the context of why it was considered irrelevant. An information gap existed, and this feature resolved that issue.

Source Differentiation in Policy and Evidence Tasks

  • Scrut provides out-of-the-box policies and evidence to kickstart compliance progress. Users can also create and manage their custom policies and evidence.

  • A new column, "Source," has been added to the Policy and Evidence Tasks Table, with the 'Custom' value for custom policies/evidence and 'Scrut' for out-of-the-box policies. Clear demarcation between Custom and Scrut-provided policies offers enhanced clarity, streamlining user interactions.

A filter has also been added to the advanced filter for the table.

Mandatory Justification for Marking Policies/Evidence Tasks as Irrelevant

  • Users are now required to provide a justification when marking a policy or evidence as irrelevant.

  • This ensures a clear understanding of the reasoning behind the flag, promoting accountability and reducing information gaps.

How does it work?

  1. Marking Policies as Not Relevant:

    • Navigate to the Policy Module and select any policy to access the Policy Detail Page.

    • Click on the 3-dot menu in the top right corner next to 'Policy Status'.

    • If a user marks a policy as not relevant, they must provide a 'Policy Justification Reason' within a 500-character limit.

  1. Audit Log Integration:

    • Upon saving the justification, users are redirected to the policy detail page, where the reason is prominently displayed. The audit log is also captured.

  1. Streamlined Filtering:

    • Users can effortlessly filter out policies marked as not relevant from the main table.

    • Note: The logo for 'Not Relevant Policies' has been updated.

  1. Editing Capabilities:

    • Users can edit the justification field at any time, offering flexibility in refining and updating their reasoning.

Once the policy is marked as relevant, the justification text box is removed from the details page. However, users can always refer back to the Audit log to find the details.

Similarly, Evidence Tasks can be marked as "Not Relevant".
