Policy Re-Acceptance Workflow

In previous versions of our product, a policy acceptance was reset every time a policy was republished in the employee training portal, even if the changes were minor. This required employees to re-accept the policy each time.

However, we recognized that not every policy update necessitates a re-acceptance. With this new release, we've introduced a feature that empowers administrators to determine whether a republished policy requires re-acceptance from the employees.

Use Cases/Pain Points Solved

  1. Inconvenience for Employees: Previously, every time a policy was republished, even for minor changes, employees had to re-accept the policy. This process was inconvenient and time-consuming for employees, especially if there were frequent updates.

  2. Policy Compliance: Requiring re-acceptance for every republished policy could potentially lead to compliance issues if employees become fatigued or overlook the updates due to frequent requests for re-acceptance.

  3. Flexibility and Control: This feature provides flexibility and control over the policy management process, allowing administrators to make informed decisions based on the significance of the policy changes.

How does it work?

  • In the 'Employee Training Portal' settings, a policy acceptance reminder is sent by default when the policy is published for the first time.

  • However, if any of the linked policies are republished, the admin is notified and asked if the policy needs to be sent for re-acceptance. If the preference is saved as 'Yes', then the policy is sent for re-acceptance. If it's saved as 'No', then the policy re-acceptance email is not sent.

  • If the admin initially selected 'No' but later changed their mind about the re-acceptance, this option is available in the three dots menu on the 'Policy Detail' page.

Note: This feature is only visible for policies linked on the 'Employee Training' page in the 'Settings'.

  • This new feature significantly improves the user experience for both administrators and employees by addressing the identified use cases. It refines the policy management process, facilitating a more user-friendly approach and ensuring improved adherence to organizational policies.
