New Feature: SharePoint Integration for Policy Management

We are excited to announce the release of our new SharePoint Integration feature. This integration allows users to import policies stored in SharePoint into Scrut. It ensures that any changes made to these policies in SharePoint are automatically synced with Scrut at regular intervals.

How to Upload Policies in Scrut Using SharePoint Integration

Follow these steps to upload your policies from SharePoint into Scrut seamlessly.

Step 1: Connect SharePoint to Scrut

  1. Navigate to the SharePoint Integration Feature:

    • Log in to your Scrut account.

    • Go to the 'Integrations' section from the main dashboard.

    • Select 'SharePoint Integration'.

  2. Connect to SharePoint:

    • Click on the "Connect to SharePoint" button.

    • You will be redirected to the Microsoft login page.

    • Enter your SharePoint credentials and authenticate.

    • Once authenticated, you will be redirected back to Scrut.

    • A successful integration message will be displayed.

    • An entry will be made in the audit log for this action.

Step 2: Attach Policy Files from SharePoint

  1. Add an Attachment to a Policy:

    • Navigate to the policy section where you want to add the attachment.

    • Click on "Add Attachment" within the 'Policy Editor'.

    • Choose "Sync a file", which will present you with two options: Confluence and SharePoint.

  2. Select SharePoint:

    • Select "SharePoint". If it's not integrated, you will see a message and a button to integrate SharePoint.

    • If already integrated, proceed to select the desired SharePoint site.

Step 3: Select the SharePoint Site and Folder

  1. Site Selection:

    • A list of accessible SharePoint sites will be displayed.

    • Browse through the list and select the desired site.

  2. Folder Navigation:

    • Once a site is selected, you will see a list of folders within the root drive.

    • Navigate through the folder hierarchy to locate the desired folders.

    • Select the relevant folders containing the policy documents.

Step 4: Choose and Sync Policy Documents

  1. Document Selection:

    • Within the selected folders, a list of documents with ".doc", ".pdf", and ".docx" extensions will be displayed.

    • Select the specific policy documents you wish to sync.

  2. Sync the Policy:

    • Confirm your document selection.

    • Click on the "Save" button to initiate the policy sync process.

    • The selected policy documents will be synced into Scrut with the tag "Synced from SharePoint, {datetime}".

Step 5: Keep Your Policies Updated

  1. Automatic Synchronization:

    • Any changes made to the policies in SharePoint will be automatically reflected in Scrut.

    • A new date-time tag will be added each time a policy is updated.

    • Users will receive a notification that a new version of the policy is available with an option to sync the new version.

  2. Manual Sync:

    • If you need to manually sync, navigate to the policy and click the "Sync Now" button to fetch the latest version from SharePoint.

  3. Handling Deleted Policies:

    • If a policy is deleted in SharePoint, it will not be removed from Scrut but will be tagged as 'Deleted from SharePoint'.

Customer Notes:

  • Ensure policies are placed in a folder within the root drive of your SharePoint site.

  • By default, this is the Documents drive on the site.

  • Policies will be automatically tagged and synced, with status updates to Draft upon changes.

Additional Details:

  • Policies are re-synced every 6 hours.

  • Deleted policies in SharePoint will not be removed from Scrut but will be tagged as 'Deleted from SharePoint'.
